Privacy Policy

Houston AI Works provides an AI receptionist and missed-call text-back service to HVAC companies (“our clients”). This policy covers two groups: visitors to this website, and the customers of our clients whose calls and texts our service handles on our clients’ behalf.

When you request a demo we collect the name, company, phone, email, and details you choose to provide, plus standard server logs (IP address, browser, pages visited) for security. We use it only to respond to you. The public demo dashboard contains sample data only; clicking around it does not collect personal information beyond a session cookie.

When you call or text an HVAC company that uses our service, we process your phone number, the details you share (such as your name, service address, and the problem with your system), call recordings, transcripts, and text messages. We do this solely so the HVAC company can respond to your request, schedule service, and follow up with you about it.

That information belongs to the HVAC company you contacted. We access it only to operate and improve their service, and we delete or return it on their request.

If you call one of our clients and the call is missed, you may receive a text from that company about your request. Replies continue that conversation. Message frequency varies, and message and data rates may apply. Reply STOP at any time to stop receiving texts, or HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared with any third party. The only exception is the service providers that deliver the messages, as described below.

We rely on vendors to run the service: hosting and database, telephony and text delivery, AI voice and language models, and email. They process data only on our instructions and under their own security and privacy terms. We do not sell personal information, and we do not use it to advertise to anyone.

Lead records, recordings, and messages are kept for as long as the HVAC company uses our service, unless they ask us to delete them sooner. Data is encrypted in transit, access is limited to each client’s own account, and one client can never see another client’s leads.

To access, correct, or delete information about you, contact the HVAC company you called, or email houstonaiworks@gmail.com and we will pass the request along or handle it directly within 30 days, unless we are required to keep records for legal reasons.
